Purpose and scope
Effective management of meetings serves to make efficient use of time, material resources and human resources, to make the most of the time spent by the staff in the meeting, and to ensure that the organization derives maximum benefit from the decisions or results of the meetings. Meeting Management training aims to provide you with the knowledge and skills to understand how to improve accountability in meetings, how to manage participants, how to handle disruptions and how to ensure that results are followed up in a timely manner.
This training focuses on planning and preparing a meeting, managing participants, creating meeting notes-minutes appropriately, and acquiring the skills of the necessary work and operations related to the meeting.
Target audience
While priority is given to those who organize and manage meetings, it is important that all employees or those attending meetings also have basic knowledge and skills in meeting management. For this reason, Meeting Management training should be taken by all personnel who attend meetings and are expected to contribute. However, considering the differences in training needs, it is preferable to create separate training groups for managers and other personnel and to adapt the training content according to the groups.
Trainers
Meeting Management training is given by trainers who have capacity building experience in meeting management training and meeting management practices in institutions and / or who have studies / research in this field.
Objectives and learning outcomes
Those who have successfully completed the Meeting Management training are expected to;
- Plan meetings and make necessary preparations,
- Identify the right participants for the meeting,
- Form an idea about choosing the right time and place according to the type of meeting, participants and expected results,
- Create a clear and understandable meeting agenda,
- Arrange the meeting environment for maximum efficiency,
- Use appropriate online options for remote participation,
- Assign the roles and responsibilities of the participants of the meeting,
- Adhere to the agenda in meeting management to achieve the desired results and ensure accountability,
- Chair the meeting by dealing with setbacks and handling personality conflicts professionally,
- Take notes in line with the meeting agenda and create a meeting minutes.

Delivery and method
Meeting Management training is applied in the form of face-to-face training. It is recommended to have no more than 20 people in each group to ensure active participation and effective learning in this training. However, if conditions arise that prevent face-to-face training, the training may be delivered remotely by using the Me-Learning© online learning platform and the Actio© meeting management tool.
The trainer guides learners through interaction, group work and practice in a way that facilitates learning and improves their practical skills. In order for the learners to experience skills such as preparing for meetings, planning, managing meetings, preparing and adhering to the meeting agenda, creating meeting minutes, practical work such as group work, practice and work on cases are carried out.
Learning tools and materials
In Meeting Management training, cases and worksheets are used as learning materials for learners to experience the processes, work and processes related to the planning and execution of meetings together with the course presentation.
Audio visual and multimedia materials, templates, worksheets and other materials for exercises and practices are prepared by the trainer and distributed to the participants. However, if there is a sufficient number of hardware such as computers, notebooks or tablets in the learning environment, all materials are provided in a digital format and studies are carried out in digital context.
In accordance with our waste reduction policy, printed materials are not distributed in this training unless it is educationally necessary.
Assessment and evaluation
In order to optimize the learning process according to the learners’ needs, the level of readiness of the learners is assessed informally by the trainer at the beginning of the training. The studies carried out by the learners, such as exercises and practices are assessed as indicators of the development / learning and the trainer provides feedback and adjusts learning activities based on them in order to ensure effective learning. In addition, at the end of the training, the Training Evaluation Questionnaire is applied.
All participants who have completed the training receive a certificate of attendance showing that they have completed the Meeting Management Training, with duration of the training clearly stated.
